What is an inventory?
A data inventory is a structured record showing which personal data you process, for which purposes, on which legal basis, with whom you share it, and how long you retain it.
Step by step
- Identify processes. List every unit that processes data — HR, sales, marketing, customer service.
- Extract data categories. Define which types of personal data are processed in each process; pay attention to special-category data.
- Map purpose and legal basis. Tie each processing activity to a purpose and an appropriate legal basis.
- Record transfers and retention. Note with whom data is shared and the retention periods.
- Keep it current. The inventory is a living document; update it as processes change.
